RFx Desk Process
Reducing RFx document turnaround by creating a reusable question pool and connected process.
Context
The project
Security software buyers ask detailed questions before a sale: product capability, legal terms, and information security all have to be represented accurately. Invicti's RFx requests crossed product, customer success, sales, legal, and information security. Repeated answers scattered across documents made the process slow and difficult to maintain.

The problem behind the pages
The product knowledge in an RFx answer has to be both reusable and current. A maintained question pool made it easier to coordinate accurate responses across teams while a connected workflow reduced repeated manual effort.
My role
What I brought together
I managed the RFx desk for two years, coordinated completion of more than 3,000 RFx documents and agreements, and built a pool of about 2,500 maintained questions. I developed the process from scratch toward an automated workflow with Salesforce and Loopio integrations, and produced monthly and quarterly reporting.
Capture
Collect and maintain a reusable pool of roughly 2,500 questions.
Connect
Coordinate answers across departments and Salesforce/Loopio.
Measure
Track volume and turnaround in monthly and quarterly reports.
Delivery
What the work produced
Average RFx completion time was reported to fall from three days to one day by the end of the two-year period.
